Tour - Engage

After you have entered initial set of data, you are ready to execute work orders and invoices. You can also execute service contracts for recurring work orders and preventive maintenance. Your field workers can clock in/out using wireless timecards and you can manage their submissions using Timecard panel.


Manage your Work Orders

Using this panel you can create new work orders with many useful features. When you create a work order and assign it using a simple form, Atduty automatically dispatches it to your field worker's mobile device. Alternatively, you can include it in a route sheet and print.
You can reassign and reschedule an active work order at anytime. You can also do so using our drag-n-drop Scheduler panel.
You can add equipments to a work order. You can also add custom attributes to send along with work order to the mobile device. You can add punch list to a work order to enforce compliance and improve quality of service.
When you dispatch a work order on a mobile device, Atduty automatically syncs back any field data captured on the device. Atduty combines this field data with the work order data and provides you with a single unified view.
Once a work order is completed, Atduty automatically generates a related invoice with all relevant data captured from the field.




Service Contracts and Preventive Maintenenace

If you deal with recurring work orders for a customer, service customer equipments under a contract or maintain customer service schedules then you will need Atduty service contracts. Once you create a contract you can use it to create and schedule multiple work orders within the Work Orders panel using convenient date pattern.
You can track what customer locations and customer equipments are covered under a contract. You can also add contractual rates for your service and inventory items that are automatically applied when the invoices are generated under that contract.
In addition, you can track visits to customer sites using our reporting panel to keep track of contractual agreements.




Invoices and payments

Atduty automatically generates an invoice when either you or your field worker completes a work order. Atduty will also export your invoice to QuickBooks if you have enabled Invoice syncing in your settings.
Within QuickBooks you can accept online payments, use Intuit's GoPayment service on mobile device or use Intuit's Payment Network to receive the payments for that invoice. Atduty will automatically post that payment back in the application. You can also manually add the payment in Atduty and it will sync that back into QuickBooks.
You can add and remove invoice items. You can change their rates and quantities at any time. Change payment terms. Again, any changes you make to the invoices in Atduty are synced back into QuickBooks.
You can also export your invoice to your private Google Docs account with just a single click.




Wireless Timecards

If you pay your employees / contractors by the hour or you just need to track their time, you can use Atduty Timecards module. Your employees can clock in and clock out using their mobile device and Atduty will capture those events along with GPS location and timestamp. It will then calculate overall time worked during the day that you can view and override in the Timecard panel.
If you have created your Overtime rules they will be automatically applied on a per employee basis to calculate the overall pay.
If you have enabled the Timecard sync in the settings then Atduty will push your employee's timesheet into QuickBooks.
You can also generate many useful reports that will give you insight into your business bottomlne such as Resource costing report that will show the time difference between actual hours worked during the day versus clocked in hours.

    Can we import a Quickbooks Estimate (from QBO) as the starting point for a work order?

      We do not yet integrate with QBO but it is in the works.

      Now you can create WO from your QB estimates (QB for Windows) by going to the Customer panel and then Estimates.

        You mentioned that we can create WO from QB estimates.

        Suppose we converted the estimate to a WO, will that be enough to import into your application? Or do we have to manually copy the estimate to generate a WO in your system?

        Last but not least, my crew has iphones. Any timeline on rolling iphone/ipad apps?

          Eric,
          You will be able to see your estimates for each customer under the Customer panel within our app. You will be able to select an estimate and create a WO from that estimate and attached items by clicking a button. Then you can add scheduling info and assign to your employee just like a regular WO. This will dispatch the WO to your employee. You do not need to manually copy any data

          We are working on iPhone app. We don't have an estimated release date yet.

    Can my employees enter sales orders form their mobile phones? For instance, a customer directly calls the employee assigned to them and requests a part. The employee drops off the part, but there is not a work order created.

      Currently there is no provision to create sales orders from within our application.

    Can you use authorize.net as a payment option
